Who we are

Everguard Group Pty Ltd, ABN 71 686 997 286, trading as Everguard Group, operates this website.

This notice explains how we handle information connected with website use and initial enquiries. Information handling during an agreed investigation depends on the engagement, the information involved and applicable requirements. Contact the Director if you need information about those arrangements.

Making an enquiry

Our form asks for your name, email address, service type, relevant jurisdiction and whether you prefer an email or telephone response. Organisation, role and a relevant deadline are optional. A telephone number is required if you request a callback. Service, role and jurisdiction use listed options. We use these details to route and respond to your contact request, then discuss the proposed scope and next steps.

The form does not request a matter outline or accept document uploads. Use the contact fields for your own details only. Do not enter information about other parties, medical information, allegations, witness details or other sensitive case material. We can discuss an appropriate handover method if further information is needed.

You can contact us by telephone or email instead. You may begin a telephone discussion without providing unnecessary identifying information. We may be unable to assess or respond to a particular enquiry without enough contact and scope information.

Where your enquiry goes

We keep a restricted, encrypted copy of the submitted details to support delivery and recovery if delivery is interrupted.

Your contact request is sent to our designated business mailbox, info@everguardgroup.com.au, through Microsoft 365. It includes your contact details, listed choices and a standard description of your preferred response. A separate acknowledgement goes to the email address you provide. It contains your reference and next steps without repeating your submitted contact information. A capability statement request is a request for follow-up, not confirmation that a document has been sent.

We use Airtable to keep the enquiry reference, contact details, organisation, enquiry category, jurisdiction, any deadline and enquiry status. No matter narrative is requested or added to that contact record. The optional selected role is included in the internal enquiry email, not the Airtable record. If no organisation is supplied, the internal record identifies that it was not provided.

An acknowledgement confirms receipt of an initial enquiry. It does not accept instructions or authorise an investigation. Authority, potential conflicts, scope, handling requirements and commercial terms are considered separately.

Website and service information

The website and its service providers process technical information needed to deliver the pages, protect access and manage errors or misuse. This may include network information, request details and service logs. The enquiry service uses references and delivery-status records to help prevent duplicate processing. Its abuse-prevention control keeps a limited-duration coded network identifier rather than storing the raw network address in that control.

The website serves its images, fonts and silent hero video with the pages. No advertising tracker, session replay, analytics service or third-party video embed is installed on this website. Hosting, necessary access controls and provider service information are separate from those features.

Service providers and overseas handling

We use Sites to host the website, Microsoft 365 for email, Airtable for contact and triage records, and Upstash for the encrypted intake store. We also use Upstash QStash for scheduled operational checks and Healthchecks for operational status alerts. These providers handle information needed to provide their respective services.

Our service arrangements involve handling in Australia and overseas. They include the United States for some Airtable service information and Germany for the selected QStash service. A selected Australian database region does not mean that every part of hosting, support, backup or service processing takes place in Australia.

QStash receives a fixed operational instruction and the routing, authentication and delivery information needed to send it to the website. The instruction does not contain your name, contact details, enquiry reference, outline or evidence. The website retrieves any necessary intake information from its restricted store. The scheduler and hosting services can still process their own technical and account information. Healthchecks receives empty operational status signals and the business contact information needed to send alerts. These signals do not contain your contact details, enquiry reference or matter information.

How long information is kept

We keep enquiry information for the purposes described in this notice and review it for removal or de-identification when it is no longer needed, subject to applicable requirements and preservation instructions.

The temporary encrypted intake copy can become eligible for removal no earlier than 30 days after all required delivery steps have been completed. Before removal, an authorised review must confirm that it is ordinary intake and that no preservation requirement applies. Unreviewed records, investigation records, active holds and uncertain deliveries are retained pending the appropriate review. Age alone does not authorise removal.

For enquiries that do not become engagements, we review the associated email and contact records for deletion after 12 months. This is a review point, not automatic deletion. Information may need to be kept longer for a continuing matter, a documented dispute, a preservation instruction or another applicable requirement.

Removing the temporary intake copy does not delete the email, Airtable contact record, investigation file or every provider backup. Limited reference, delivery and decision records are handled separately. Backup and deleted-item copies follow the relevant service arrangements and may remain after removal from an active system.

Access, correction and privacy concerns

Contact the Director to request access to information about you, ask for a correction or raise a privacy concern. Explain the information or issue, the outcome you seek and how we can respond. We may need reasonable information to verify your identity and locate the relevant records. Do not email identity documents unless a suitable method has been arranged.

We will review the request, make appropriate enquiries and explain the outcome within a reasonable time. If access or a requested correction cannot be provided, we will explain the relevant reason and available next steps where permitted by law.

If a privacy complaint remains unresolved, the Office of the Australian Information Commissioner explains Australian privacy rights and external complaint pathways. The pathway available depends on the circumstances and applicable law.

Changes to this notice

We may update this notice when our information-handling arrangements change. The version published on this page will identify its update date. You can request a copy using the contact details above.
